Complaints Procedure

 

Complaints relating to West Hendred Parish Council should be made in writing and sent to the Chairman, with a copy to the Clerk. Contact details are under ‘Who we are’. Complaints may be sent via email or letter.

 

Requests for Information

 

Requests for information should be made in writing to the Clerk. Requests may be sent via email or letter. Depending on the nature of the request, a charge may arise under the fulfilment of the request. Please refer to the Schedule of Charges for further details.

 

Records Management

 

Official copies of the Agenda and Minutes are retained by the Clerk for the current and previous financial years. After this they are archived at the Oxford History Centre.

Electronic copies of the Agenda and Minutes from 2003 are retained by the Clerk.

 

Copies of Financial and legal documents are kept in accordance with legal guidelines.

 

Local authority plans are kept electronically and held until they are superceded.

 

Retention periods of other documents depend on the indivual records.
